We are recruiting to fill the position below:
Job Position: Administrative Officer
Job Location: Lekki, Lagos
Employment Type: Full-time
Job Responsibilities
- Vendor Management and Communications:
- Develop and maintain relationships with vendors, contractors, and service providers to ensure timely and cost-effective delivery of services.
- Coordinate and manage vendor activities, including scheduling, performance monitoring, and issue resolution.
- Negotiate contracts, agreements, and pricing with vendors to achieve cost savings and optimize service levels.
- Communicate effectively with vendors, stakeholders, and team members to ensure seamless facility operations.
- Facility and Assets Management:
- Oversee the maintenance, repair, and operation of facility systems, including HVAC, electrical, plumbing, and mechanical systems.
- Develop and implement preventive maintenance programs to minimize downtime and extend asset life.
- Manage facility projects, including renovations, upgrades, and new installations.
- Ensure compliance with safety regulations, building codes, and industry standards.
- Procurement Responsibilities:
- Source and procure goods, services, and equipment necessary for facility operations, maintenance, and projects.
- Develop and manage procurement budgets, ensuring cost-effectiveness and value for money.
- Collaborate with internal stakeholders to identify procurement needs and develop specifications.
- Negotiate prices, terms, and conditions with suppliers to achieve best value.
- Additional Responsibilities:
- Develop and manage facility budgets, including capital and operational expenditures.
- Analyze facility performance data to identify areas for improvement and implement cost-saving initiatives.
- Collaborate with internal teams, including operations, maintenance, and engineering, to ensure alignment and effective facility support.
- Ensure compliance with company policies, procedures, and regulatory requirements.
- Develop and implement emergency response plans and conduct regular drills to ensure facility readiness.
- Perform additional administrative and executive support responsibilities to members of the management.
Job Qualifications
- Bachelor's degree in Business Administration, Management Studies, Facilities Management, or a related technical field.
- Minimum 2 years of experience in facility management, administration, or a related technical field.
- Proven experience in vendor management, facility operations, and procurement.
Job Requirements:
- Strong technical knowledge of facility systems, including HVAC, electrical, plumbing, and mechanical systems.
- Excellent communication, negotiation, and project management skills.
- Ability to work independently and as part of a team.
- Strong analytical and problem-solving skills.
- Proficiency in computer-aided facility management (CAFM) software and other relevant tools is an added advantage.
- Certification in facility management (e.g., CFM, FMP) or a related field is an asset.
