1.) Head, Services and Maintenance

Job Location: Abuja (FCT)

Job Responsibilities


  • To ensure safe and efficient functioning of all civil, electrical and mechanical installations in company’s locations in Abuja
  • To manage the daily activities of the Facility Management crew for the Abuja Offices, Guest Houses and Residences
  • Functions as the RSES-D for Abuja
  • Lead the multi-disciplinary team for periodic evaluation of the general state of company properties in Abuja for timely identification and resolution of exceptions.
  • Ensure implementation of preventive maintenance schedules for office and housing operation equipment’s in company’s locations in Abuja
  • Maintain first level interface with tenants in company assets for maintenance and interventions
  • Support other administration entities like Security, Medical, HSE, Methods, Logistics, and IST operations in Abuja
  • Carries out any other duties/projects that may be assigned to him/her by the Hierarchy.

Qualifications / Experience Required

  • BSc / HND in Engineering or Facility Maintenance
  • Minimum of 8 years of working experience in activities related to facility management / Services Division Activities
  • Customer oriented and good analytical skill.

2.) Immigration / Visa Officer

Job Locations: Lagos & Port Harcourt - Rivers

Job Description
Immigration facilities:

  • Contributes to the process of obtaining visa for new arrivals to Nigeria.
  • Renewal of existing visas and residence permits & Extension of Business/Tourist visas.
  • Procurement of green cards for expatriates
  • Procurement of Nigerian passports for Nigerian staff and dependents

Expatriate database follow-up:

  • Inputs data of expatriates and their families on Immigration tool
  • Maintains an accurate database for effective retrieval of information and issues reports.

Intervention:

  • Assists in solving difficult situations or incidents in the interest of the Company that can occur at the following entry-points: MMI Airport, LADOL Free Zone, etc.

Public Relations / Partners:

  • Maintains a good interpersonal relationship with customers – expatriates and dependents, local staff - as well as managers through regular communication.
  • Contributes to maintain good relationship with immigration bodies in Nigeria, especially focused on Port Harcourt-based, to ensure an effective good relationship and efficient services.

Reporting:

  • Prepares weekly/monthly/annual immigration reports.

Visa Services:

  • Performs Physical and On-line liaison with the different embassies to get up to date information about their visa requirement.
  • Ensures visa administration processes (collating, reviewing, submission and pick-up) are well managed in liaison with various embassies and visa processing centers/agents.
  • Processes all travel health insurance policy.
  • Updates the visa requirements in HR Direct
  • Assists Nigerian staff & dependents in obtaining valid Nigerian passports.

Cost Efficiency:

  • Ensures compliance with the Company’s Cost Efficiency initiatives.

Others:

  • Documentation for the Biometric Data Capture of expatriates at the NCDMB office in Yenagoa.
  • Gives updates on changes in Immigration rules and policies.
  • Liaises with the finance team on achieving smooth re-imbursements.
  • Carries out any other duties/projects as assigned by the hierarchy

Accountabilities

  • Responsible for Immigration and visa activities on behalf of all COMPANY’S staff (Expatriates & Nationals) and Partners
  • Ensures compliance of Expatriates to Immigration Rules and Policies as prescribed by the Nigeria
  • Immigration Service such valid CERPAC or Green Cards or extended stay for business visas.
  • Maintains good working relationship on behalf of the company with government parastatals

Qualifications

  • A Degree in any of the Social Sciences with a minimum of 5 years work experience
  • Knowledge of human resources policies & procedures
  • Ability to work in a team and to work under pressure, with minimum supervision.
  • High level of integrity and analytical skills
  • Excellent interpersonal relationship skills
  • Ability to use Microsoft Office tools, data management and process tools – HR Direct/SAP/STAR
  • Knowledge of French is an added advantage.

3.) PTM Archive Co-ordinator

Job Location: Rivers

Job Responsibilities
Staff Records Management
The incumbent is responsible to:

  • Maintain physical and digital records of all active and exited staff files in a structured format.
  • Ensure for both physical and digital records, and in collaboration with nominated departmental responsible, update of:
    • Dependants’ information – birth registration, marriage/divorce notification, nomination of beneficiary update
    • Career journey – transfer, reassignment, international assignment, reintegration, secondment
    • General matters – company accommodation allocation, condolence, and burial support, change of name
    • Exit information – retirement, termination, death-in-service, resignation.
  • Prepare job progress reports – weekly, monthly, and quarterly.
  • Monitor, identify and escalate issues that may impact on the records and installations in the dedicated archive room.
  • Validate staff dependant information on official HR tool, ensuring:
    • All dependants are registered with the company.
    • All data (name, date of birth, birth certificate(s), marriage certificate) provided with request corresponds with data in dependants section of staff records.
    • Invalid requests (lack of supporting documents) are flagged, and explanation provided to impacted staff.
  • Validate nomination of beneficiary form on official HR tool:
    • Ensure all sections of the form requiring signature is clearly signed and dated.
    • Ensure all sections of the form is correctly completed.
    • Promote sensitization of staff on importance of beneficiary form update.

Management of Service Provider Records:
Incumbent is responsible to:

  • Maintain annual leave request record for Company secretaries.
  • File grade promotion letters
  • File queries/complaints

CPFA Interface:
Incumbent supports to ensure that:

  • Employment letters of exiting staff are communicated to the CPFA
  • Updated beneficiary forms are communicated to the CPFA for active staff.

Accountabilities

  • The role is responsible to support in ensuring that staff information is readily available to aid decision making.
  • In the unfortunate event of the demise of a staff, incumbent is required to provide beneficiary information that is clear and identifiable.
  • Role ensures that the Pension Fund remains in compliance with the FGN Law on proper documentation of RSA

Requirements / Experience Required

  • Bachelor’s Degree in Human Resources, Business Administration or any relatable Social Science.
  • At least 2 years of experience in administrative role.
  • Proficient in MS office applications such as PowerPoint, Excel and so on.
  • Ability to manage multiple tasks simultaneously and prioritize tasks effectively.
  • Strong problem solving and decision-making skills.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and in a team.
