Job Overview
- The Warehouse and Inventory Operations Officer at The Animal Project Group Limited will be responsible for managing and coordinating the entire warehousing and inventory control process to support the bulk distribution and retail of food and non-food products for pet animals.
- This position requires close monitoring of stock levels, proper handling of products, and maintaining warehouse efficiency.
- The Officer will ensure that inventory levels meet the company’s requirements while adhering to highest standards of product quality and packaging.
- The role also involves safeguarding the company’s integrity through transparent and accountable warehouse operations.
Duties and Responsibilities
Inventory Management:
- Manage and maintain accurate inventory records, ensuring all products are accounted for and stored correctly.
- Monitor stock levels to prevent shortages or overstock situations, ensuring products are available to meet customer demand.
- Regularly conduct physical stock counts and reconcile discrepancies between physical stock and inventory records.
- Maintain an updated inventory tracking system, ensuring timely data entry and retrieval of stock-related information.
- Forecast demand based on sales trends and coordinate with the procurement team to replenish inventory as needed.
Warehouse Operations Management:
- Supervise all warehouse activities, including the receipt, storage, handling, and dispatch of pet food and non-food products.
- Ensure that products are stored in compliance with health, safety, and quality standards.
- Oversee the organization of products in the warehouse for easy access, efficient picking, and streamlined dispatch processes.
- Implement best practices for space utilization, ensuring that the warehouse layout maximizes storage capacity and operational efficiency.
- Monitor and improve warehouse processes, ensuring smooth and cost-effective operations.
Stock Control and Reconciliation:
- Oversee daily, weekly, and monthly stock reconciliation to verify inventory accuracy.
- Investigate and resolve inventory discrepancies, liaising with other departments (sales, logistics) to identify causes and corrective actions.
- Conduct regular stock audits to maintain an accurate and consistent inventory database.
- Implement loss-prevention measures to safeguard against inventory shrinkage or mismanagement.
Working Knowledge of Products:
- Maintain a comprehensive understanding of all products stocked in the warehouse.
- Ensure that all staff are trained in the proper handling, storage, and identification of different product types, including understanding product expiration dates, and special storage requirements.
- Regularly review product specifications and characteristics to provide accurate inventory counts, ensure quality control, and communicate effectively with management regarding stock availability and product details.
Product Handling and Quality Assurance:
- Ensure the proper handling of products to maintain quality standards, with special attention to the storage and movement of the products.
- Implement and oversee quality control checks to ensure products meet the company’s quality requirements before dispatch.
- Coordinate with suppliers to handle any defective or substandard products and ensure that all returned goods are processed accurately.
Warehouse Equipment and Safety:
- Ensure the proper use, maintenance, and servicing of warehouse equipment such as forklifts, pallet jacks, and storage systems.
- Implement and enforce safety procedures to ensure a safe working environment for all warehouse personnel.
- Conduct regular inspections of the warehouse to identify and rectify safety hazards.
- Maintain proper documentation of safety protocols and train staff on best practices for warehouse safety.
Receiving and Dispatch Coordination:
- Supervise the receiving process, ensuring that incoming products are accurately checked, verified, and recorded in the inventory system.
- Manage the dispatch of products to customers and retail outlets, ensuring timely and accurate fulfillment of orders.
- Coordinate with the logistics team to streamline the loading and unloading process, ensuring timely delivery of goods to meet customer expectations.
- Ensure that all outgoing shipments are properly packaged and labeled according to company and regulatory standards.
Supplier and Vendor Relations:
- Collaborate with suppliers and vendors to ensure timely and accurate delivery of products to the warehouse.
- Oversee the receiving of deliveries, ensuring that all incoming goods are properly inspected, counted, and recorded.
- Communicate with suppliers about any product quality issues, shortages, or overstock, and coordinate returns or replacements as needed.
- Establish and maintain relationships with key vendors and suppliers to ensure smooth warehouse operations.
Reporting and Documentation:
- Maintain detailed records of all warehouse and inventory activities, including product movements, receipts, dispatches, and stock adjustments.
- Prepare and present regular reports on inventory levels, stock movements, and warehouse performance to upper management.
- Generate and analyze inventory reports, identifying trends, potential stock issues, and opportunities for improvement.
- Provide detailed insights into warehouse capacity utilization and product demand patterns.
Team Management and Supervision:
- Supervise and provide guidance to warehouse staff, ensuring that all tasks are completed efficiently and accurately.
- Organize training sessions for warehouse personnel on inventory management, product handling, and safety procedures.
- Coordinate the work schedules of warehouse staff to ensure coverage for all warehouse operations.
- Monitor staff performance, providing feedback and coaching to ensure a high standard of productivity and adherence to company policies.
Customer Satisfaction and Support:
- Ensure that all products are dispatched on time and in good condition, meeting customer expectations.
- Coordinate with the sales and customer service teams to address any product-related inquiries or issues.
- Implement continuous improvement initiatives to enhance the overall customer experience through better warehouse and inventory management.
Qualifications
- Bachelor’s degree or HND in Supply Chain Management, Logistics, Business Administration, or a related field.
- Minimum of 2-3 years of experience in warehouse management, inventory control, or supply chain roles, preferably in the retail or distribution sector.
Requirements & Skills:
Warehouse and Inventory Management Expertise:
- Proven experience in managing warehouse operations and inventory control in a fast-paced environment.
- Strong knowledge of warehousing practices, including space optimization, stock control, and inventory management.
Technical Skills:
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and warehouse management software.
- Experience using inventory management systems and tools for stock control.
Organizational and Multitasking Skills:
- Excellent organizational skills, with the ability to manage multiple tasks, prioritize, and meet deadlines.
- Detail-oriented with a strong focus on accuracy in inventory control and warehouse operations.
Problem-Solving and Analytical Skills:
- Ability to identify operational inefficiencies, propose solutions, and implement process improvements.
- Strong analytical skills to interpret data, forecast trends, and make informed decisions about inventory levels.
Communication and Interpersonal Skills:
- Excellent verbal and written communication skills for interacting with staff, suppliers, and management.
- Strong leadership skills, with the ability to manage and motivate warehouse teams.
Health and Safety Knowledge:
- Familiarity with warehouse safety regulations and procedures.

Salary
N120,000 - N150,000 per month.
