Job Position: Executive Assistant
Job Location: Abuja (FCT)

Job Description

  • The Executive Assistant organizes and coordinates executive external relations efforts; and oversees special projects as assigned. The individual must possess business acumen as would be required to manage assigned business projects on behalf of the CEO.
  • This role will Report directly to the Group CEO, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant serves as the primary point of contact for staff, board members, and clients on all matters pertaining to the Office of the CEO.

Executive Support:

  • Will be required to manage sensitive matters with a high level of confidentiality and discretion
  • Will complete a broad variety of administrative tasks including managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Will Plan, coordinate, and ensures the CEO's schedule is followed and respected.
  • Will Communicate directly, and on behalf of the CEO, with Board members, on matters related to CEO's initiatives.
  • Prepare Word, Excel, and PowerPoint presentations, agendas, reports, special projects, and other documents in support of objectives for the organization.
  • Draft and prepare correspondence for internal announcements, board meetings, and organizations that the executive is involved with.
  • Manage the Executive's contacts. Be responsive of emails/texts/phone calls with contacts, within and outside normal business hours.
  • Conserve the Executive's time by reading, researching, collecting and analyzing information as needed, in advance.
  • Complete ad-hoc projects as assigned – such as personal events and/or family needs.
  • Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the CEO, some of which may have organizational impact.
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgment letters, personal correspondence, and other tasks that facilitate the CEO's ability to effectively lead the company.
  • Prioritizes conflicting needs; handles matters expeditiously, and proactively, and follows through on projects to successful completion, often with deadline pressures.

Senior Management Liaison:

  • Participates as an adjunct member of the Executive Team including assisting in scheduling meetings and attending all meetings
  • Assists in coordinating the agenda of senior management team meetings and off-site, and all-staff meetings
  • Facilitates cross-divisional coordination of travel and outreach plans
  • Edits and completes first drafts for written communications to external stakeholders

Education & Training

  • A University Degree is a Must for Social Sciences or Legal faculties
  • (Proficiency in MS Office, Outlook, Word, Excel, and calendar organizing software)
  • A minimum of 5-year work experience
  • Ability to function well in a high-paced environment; performs additional duties as assigned by executives.
