Job Position: Executive Assistant

Job Summary

  • We are looking for an Executive Assistant to join our team.
  • As an Executive Assistant, you will manage the MD's schedule, coordinate meetings with stakeholders, and handle correspondence professionally.
  • Our ideal candidate should be able to work closely with the MD to support special projects and decision-making initiatives.

Duties and Responsibilities

  • Organize and maintain the MD’s schedule, ensuring all appointments, meetings, and events are properly prioritized.
  • Coordinate with internal and external stakeholders to schedule meetings as required.
  • Handle correspondence such as emails and calls with a high level of professionalism.
  • Manage sensitive information discreetly. Maintain professionalism when dealing with confidential matters.
  • Maintain records, and also act as a liaison between the MD and other departments or clients.
  • Draft, edit, and proofread documents for presentations.
  • Prepare meeting agendas, take minutes, and follow up on action items. Ensure the MD is well-prepared with necessary materials for all engagements.
  • Coordinate business travel itineraries with the Administrative Manager
  • Assist in research or gathering data for decision-making in special projects or initiatives led by the MD

Desired Skills & Experience

  • A Bachelor's Degree in Mass Communication, Business Administration, English, or a related field.
  • Minimum of 2 years of experience in a similar role.
  • Ability to work effectively in a fast-paced environment.
  • Excellent communication and organisational skills, and excellent analytical and problem-solving skills.
  • Proficiency in tools like Google Suite (Google Sheets & Slides) are required.
  • Proficiency with CRM and project management applications (e.g., Zoho) are preferred.
