Job Summary


  • We are seeking an experienced and skilled HR / Admin Manager to join our team.
  • The successful candidate will be responsible for managing the day-to-day administrative and HR functions of the company, ensuring compliance with company policies and procedures, and providing support to emoloyees and the management team.

Key Responsibilities

  • Policy Update and Implementation: Review, update, and implement company policies and procedures to ensure compliance with regulatory requirements and industry best practices.
  • Payroll Administration: Manage the payroll process, including salary calculations, tax deductions, and benefits administration.
  • Petty Cash Approvals: Approve and manage petty cash transactions, ensuring that all expenses are properly documented and accounted for.
  • Staff Relations: Foster positive staff relations, address employee concerns, and provide guidance on company policies and procedures.
  • Recruitment: Manage the recruitment process, including job postings, interviews, and onboarding of new employees.
  • Office Maintenance: Ensure that the office is well-maintained, clean, and safe, and that all necessary supplies and equipment are available.
  • Records Keeping and Filing: Maintain accurate and up-to-date records, including employee files, company documents, and regulatory records.
  • Staff Certification: Coordinate staff training and certification programs to ensure that employees have the necessary skills and knowledge to perform their jobs effectively.
  • Staff Engagement: Develop and implement programs to promote staff engagement, motivation, and retention.
  • Compliance: Ensure that the company is in compliance with all relevant laws, regulations, and industry standards.

Detailed KPIs
Policy Update and Implementation:

  • Review and update company policies and procedures within 6 months of appointment.
  • Ensure that all employees are aware of and understand company policies and procedures.

Payroll Administration:

  • Process payroll accurately and on time, with a minimum of 99% accuracy.
  • Ensure that all payroll-related documents are properly maintained and filed.

Petty Cash Approvals:

  • Approve and manage petty cash transactions within 24 hours of receipt.
  • Ensure that all petty cash transactions are properly documented and accounted for.

Staff Relations:

  • Respond to employee concerns and queries within 24 hours.
  • Conduct regular staff meetings and surveys to gauge staff satisfaction and engagement.

Recruitment:

  • Fill vacant positions within 8 weeks of job posting.
  • Ensure that all new employees are properly onboarded and trained.

Office Maintenance:

  • Ensure that the office is clean, safe, and well-maintained at all times.
  • Conduct regular inspections to identify and address any maintenance issues.

Records Keeping and Filing:

  • Maintain accurate and up-to-date records, with a minimum of 99% accuracy.
  • Ensure that all records are properly filed and stored.

Staff Certification:

  • Coordinate staff training and certification programs to ensure that employees have the necessary skills and knowledge to perform their jobs effectively.
  • Ensure that all employees have the necessary certifications and training to comply with regulatory requirements.

Staff Engagement:

  • Develop and implement programs to promote staff engagement, motivation, and retention.
  • Conduct regular staff surveys to gauge staff satisfaction and engagement.

Compliance:

  • Ensure that the company is in compliance with all relevant laws, regulations, and industry standards.
  • Conduct regular audits and reviews to identify and address any compliance issues.

Qualifications

  • Bachelor's Degree in Human Resources, Business Administration, or a related field.
  • At least 5 years of experience in HR and administration, preferably in the shipping industry.
  • Professional certification in HR, such as SHRM-CP or HRCI-PHR.
  • Strong knowledge of employment law, labor regulations, and industry standards.
  • Excellent communication, interpersonal, and problem-solving skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Proficient in Microsoft Office and HR software.

Salary
N600,000 Monthly.
