E.R.Opara & Co. is a Legal Practitioner and Consultants firm registered with the Corporate Affairs Commission, FCT Office at Wuse 5 Abuja, Nigeria with RC Number: 2243819. We have been into commercial legal practice for almost a decade and have a host of companies we represent as their corporate solicitors for more than 7 years. We are a member of Nigeria Bar Association with our current practising licence.
We are recruiting to fill the position below:
Job Position: Office Manager / Personal Assistant to the CEO
Job Location: Abuja (FCT)
Employment Type: Full-time
Position Summary
- To run the office and support the CEO as his PA.
Core Responsibilities
- Completes a broad variety of administrative tasks for the people supported including: managing active and complex calendar of appointments across geographies; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans (flights, hotels, etc.), itineraries, and agendas; and compiling documents for travel-related meetings
- Work closely and effectively with the principals to keep them well informed of upcoming internal and external commitments and responsibilities, following up appropriately
- Successfully completes critical aspects of deliverables with a hands-on approach, including following up on principals’ contacts
- Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows- through on projects to successful completion, often under deadline pressures
- Assist with the planning for events, key leadership meetings, retreats, convenings, and presentations which may include coordinating arrangements for multiple participants from different countries (or convenings outside of Nigeria), managing participant communication, handling logistics, preparing and disseminating materials
- Create, update and maintain organized files and records including a system for tracking, monitoring and prioritizing tasks and projects
- Supporting communications to ensure timely responses to inquiries including acting as liaison for the principals with internal partners, routing requests appropriately, drafting and editing correspondence and taking and distributing minutes of meetings
- Demonstrates keen ability to anticipate needs of the principals and is proactive in spotting and resolving issues especially when the principal is travelling
Education & Experience
- Bachelor’s Degree in Law or Business Administration with at least 5 year experience in a complex, fast-paced environment
Core Knowledge & Skills:
- Excellent spoken and written communication skills in English required
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with attention to detail
- Excellent interpersonal skills and the ability to build relationships with stakeholders, including internal staff, grantees, high level officials and other key partners
- Demonstrated, proactive approaches to problem-solving with decision-making capability
- Highly resourceful team-player, with the ability to also be effective independently
- Ability to effectively manage and work through ambiguity
- Experience establishing organizational systems to improve efficiency and functioning in a changing environment
- Demonstrated proficiency using Microsoft Word, Outlook, Excel, PowerPoint, SharePoint is required, as is experience in learning and mastering new software applications
- Project management experience would be an advantage.
