Overview

  • The Administrative Executive (Office of the CEO) provides high-level administrative, organizational, and operational support to ensure efficient management of the CEO’s professional and personal affairs across the Group’s business interests in engineering consultancy, IT, and broadcasting. Responsibilities include calendar management, departmental coordination, tracking the execution of CEO directives, and handling both business and personal administrative tasks.
  • The role demands exceptional confidentiality, initiative, responsiveness, and attention to detail.

Key Responsibilities

  • Manage and synchronize the CEO’s business and personal calendar.
  • Handle confidential communication, reports, and documentation.
  • Draft and prepare meeting agendas, minutes, and follow-up action summaries.
  • Follow up on all instructions issued by the CEO to ensure timely execution and feedback.
  • Coordinate communication with internal departments and external stakeholders.
  • Arrange and confirm local and international travel logistics.
  • Maintain records, expense tracking, and organized filing systems.
  • Execute personal and executive errands, event schedules, and logistics with complete discretion.
  • Send a daily Teams summary each evening, outlining the CEO’s next-day priorities, agenda, and travel alerts.

Qualifications

  • Bachelor’s Degree in Business Administration or a related discipline.
  • 4 - 6 years of experience supporting C-level or senior leadership in a structured environment.
  • Strong command of Microsoft 365 (Outlook, Teams, Planner, SharePoint, Excel, PowerPoint).
  • Excellent time management, communication, and multitasking skills.
  • Calm, presentable, emotionally intelligent, and able to handle high-pressure executive tasks with grace.
  • Demonstrated integrity and discretion in managing sensitive information.
