Job Position: Executive Assistant to the Managing Director
Job Location: Benin, Edo

Job Description
- To provide comprehensive executive support to the Director, ensuring efficient management of schedules, communication, and correspondence, while also overseeing the smooth operation of the facility estate, travel/immigration processes, and secretariat. The role requires discretion, organizational skills, and multitasking to ensure both executive and administrative functions are effectively managed.

Responsibilities
Executive Support:
- Manage the Director’s calendar, appointments, meetings, and travel arrangements.
- Prepare and review documents, reports, and presentations for the Director.
- Draft, proofread, and manage high-level correspondence.
- Act as a liaison between the Director and internal/external stakeholders.
- Ensure confidentiality and handle sensitive information with discretion.
Secretariat Management:
- Coordinate executive meetings, prepare agendas, and ensure timely distribution of minutes and action tracking.
- Manage documentation, filing systems, and archiving for the Director’s office.
- Oversee communication flow within the director’s office and across departments.
- Provide administrative support to executive committees and board meetings where required.
Facility & Estate Management:
- Oversee day-to-day operations of the Director’s office premises and estate, ensuring facilities are functional, secure, and well maintained.
- Liaise with vendors, contractors, and service providers for office/estate maintenance, supplies, and facility-related issues.
- Monitor facility budgets, contracts, and service-level agreements.
- Ensure compliance with health, safety, and security regulations.
Travel, Immigration & Logistics:
- Manage the director’s and key executives’ visa applications, renewals, and compliance with immigration requirements.
- Coordinate flight bookings, accommodation, and ground transportation.
- Ensure timely processing of travel documents (passports, permits, insurance).
- Maintain relationships with embassies, immigration authorities, and travel service providers.
General Liaison with:
- Group BODs, the management team and staff of other companies in the group, clients, and service providers.
Key Internal Liaison:
- All Group Staff
- MDs
- HODs
Educational Qualifications, Certifications, and Experience:
- Bachelor’s Degree or HND in any science, social science or arts-related course
- Minimum of 3-5 years of relevant work experience
- Proficiency in the use of MS Office and other packages.
- Excellent human relations management skills.
Core Competency Skills (Technical/Professional):
- Executive Administration – advanced diary, travel, and correspondence management.
- Document & Records Management – secure filing, archiving, and confidentiality.
- IT & Systems Proficiency – MS Office Suite, Teams/Zoom, and travel/immigration platforms.
- Budget & Procurement – preparing budgets, vendor negotiations, and procurement oversight.
- Project & Event Coordination – ability to manage timelines, logistics, and deliverables.
- Facility/Estate Oversight – preventive maintenance, contractor supervision, HSE compliance.
- Travel & Immigration Management—strong knowledge of visa processes, ticketing, and travel insurance.
- Report Writing & Presentation—professional reports, briefings, and executive notes
General Work Conditions:
- Standard OMS work conditions
- 60-80% on-the-job movement across locations
- Lots of external stakeholder engagement/liaison
