Job Position: Finance and Admin Officer

About the Role


  • The Finance & Admin Officer plays a vital role in ensuring the effective financial and administrative operations of HillCity Foundation.
  • The officer will be responsible for maintaining accurate financial records, managing budgets, handling procurement and payments, preparing financial reports, and overseeing general office administration.
  • The ideal candidate is detail-oriented, organized, proactive, and aligned with HillCity’s mission of youth empowerment and leadership development.

Key Responsibilities
Finance Functions:

  • Maintain and update financial records, ledgers, and documentation
  • Process payments, reimbursements, and payroll in a timely and compliant manner
  • Ensure compliance with financial regulations, donor requirements, and internal controls
  • Prepare monthly, quarterly, and annual financial reports
  • Support the development and monitoring of program budgets and expenditures
  • Assist with financial audits and provide relevant documentation and support

Administration Functions:

  • Manage day-to-day administrative tasks and ensure smooth office operations
  • Handle procurement processes, including sourcing, quotations, and vendor relationships
  • Maintain accurate documentation of purchases, contracts, and service agreements
  • Coordinate logistics for meetings, trainings, and organizational events

Requirements

  • A Degree in Accounting, Finance, Business Administration, or related field
  • Minimum of 2 years of relevant work experience in finance and administration
  • Strong knowledge of accounting principles and financial management
  • Proficiency in MS Excel and at least one accounting software (e.g. QuickBooks, Xero, Sage)
  • Strong organizational and multitasking skills
  • Excellent attention to detail and high level of accuracy
  • Good written and verbal communication skills
  • Experience working with non-profits or donor-funded projects is an advantage
