1.) Executive Assistant and Project Supervisor

Job Summary

  • The Executive Assistant and Project Supervisor to the Chief Operating Officer (COO) provides high-level administrative, analytical, and project management support to enhance the efficiency and effectiveness of the COO’s office.
  • The role requires a detail-oriented, data-savvy, and highly organized professional capable of managing multiple priorities, tracking project deliverables, analyzing reports, and ensuring seamless coordination across departments.

Key Responsibilities
Executive and Office Management:

  • Manage and maintain the COO’s calendar, appointments, and daily schedule to ensure effective time management.
  • Prepare, review, and organize reports, presentations, and correspondence for the COO’s meetings and briefings.
  • Coordinate and document meetings, including preparing agendas, taking minutes, and tracking action items.
  • Maintain confidentiality of sensitive information and handle all matters with professionalism and discretion.

Operational, Analytical, and Project Management Support:

  • Analyze operational data, track performance metrics, and generate insightful reports to support decision-making.
  • Support the preparation of performance dashboards, business insights, and strategic presentations.
  • Manage and track the progress of key projects and initiatives across departments, ensuring timely execution and alignment with organizational goals.

Requirements

  • Proven experience in an executive-level support role, ideally within a large or multinational organization.
  • Strong project management skills, with the ability to coordinate multiple work-streams and ensure timely delivery of outcomes.
  • Experience using project management tools or frameworks (e.g., Asana, Trello, MS Project, or similar).
  • Strong analytical and reporting skills with proficiency in Microsoft Excel and PowerPoint.
  • Confidence in liaising with senior directors, stakeholders, and their executive assistants.
  • Flexible, composed, and effective under varying workloads and tight deadlines.
  • Strong interpersonal, written, and verbal communication skills.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
