Job Position: Personal Assistant to the General Manager

Job Location: Lagos
Job Grade:  9

About The Role

  • The Personal Assistant to the Country General Manager will provide tactical, operational, and administrative support to the office of the CGM.
  • The role will support the monitoring and reporting of strategic projects as well as ensure the smooth running of the CGM’s office.
  • The role holder may be drafted to serve as secretary or project manager on specific projects.

Key Responsibilities

  • Manage the GM’s schedule, organize key meetings, and manage all business engagements.
  • Coordinate general logistics and event planning for regular on-site and off-site leadership events.
  • Effectively manage both internal and external meetings, prioritizing requests and exercising sound judgment. This involves coordinating with internal leaders to ensure alignment on meeting schedules and travel needs, while efficiently handling competing priorities.
  • Coordinate leadership meetings by collecting input for the agenda, creating the agenda, documenting discussions, and distributing clear action plans.
  • Assist in preparing draft documents and responding to data requests, such as reports, analysis, or presentations, and GM OPEX Control.
  • Periodically track the office’s budget identifying and activating improvement opportunities as approved by the GM.
  • Handle all aspects of expense reporting and ensure timely submission.
  • Maintain the highest level of confidentiality when managing sensitive information.
  • Prepare necessary materials for both internal and external meetings and discussions. Engage with relevant parties to track actions from various engagements/meetings and provide proactive updates to the GM.
  • Execute basic research, analysis, and data synthesis to support the GM’s decision-making (as applicable).
  • Coordinate the provision of supplies needed for the GM’s office and all other meeting rooms in the Head office.
  • Undertake official logistics/special projects for the GM’s office.
  • Arrange and manage travel plans in accordance with company systems and policies, provide leaders with necessary travel details, documentation, and offer real-time assistance during travel.
  • Managing the performance management system (BPMS): execution, tracking, evaluation and improvement) including BPMS meetings and in line with our performance management processes and internal stakeholder satisfaction.
  • Build strong and positive working relationships with all internal and external stakeholders, Establish and enhance professional links, and maintain working relationships with Group colleagues with similar roles and Brand partners.
  • Ensure overall seamless co-ordination of all administrative tasks

Requirements
Is This You?

  • Bachelor's Degree.
  • Minimum of 3 years of experience as an administrative/executive assistant, a similar role providing support to senior-level executives or board members.
  • Ability to work in a fast-paced, dynamic environment and adapt to changing priorities.
  • Highly Proficient in Microsoft Office Applications.
  • Experience in Project Administration
  • Basic understanding of the business value chain
  • Ability to manage a complex set of stakeholders
  • Cross-functional thinking and alignment
