Role Overview


  • Omenka Industries is seeking a detail-oriented and highly organized Administrative Assistantto support daily office operations and ensure accurate administrative and inventory records.
  • This role is critical to the smooth functioning of our lubricants distribution business, requiring someone who can manage documentation, coordinate internally, and maintainaccurate inventory trackingacross office and depot operations.
  • The ideal candidate is reliable, structured, proactive, and numerate, with strong attention to detail and the ability to work in a fast-paced operational environment.

Key Responsibilities
Administrative & Office Support:

  • Handle day-to-day administrative tasks and office coordination
  • Manage incoming and outgoing correspondence (emails, calls, documents)
  • Prepare and maintain reports, memos, invoices, and official documents
  • Schedule meetings and assist with internal coordination
  • Maintain proper filing (digital and physical) of company records

Inventory & Stock Management:

  • Maintain accurate inventory records for lubricants and related products
  • Track stock levels, receipts, issues, and balances
  • Update inventory logs and reconcile physical stock with records
  • Flag low stock levels and support timely re-ordering
  • Assist in periodic stock counts and audits
  • Coordinate with warehouse/depot personnel on stock movement
  • Ensure proper documentation for deliveries, dispatches, and transfers

Sales & Operations Support:

  • Support sales and operations teams with documentation and records
  • Assist in preparing delivery notes, waybills, and stock release documents
  • Monitor order processing and follow up on pending requests
  • Maintain customer and supplier records

Compliance & Documentation:

  • Ensure accurate record-keeping in line with company policies
  • Support documentation required for regulatory, supplier, or partner reviews
  • Maintain confidentiality of sensitive business information

Required Skills & Qualifications
Education & Experience:

  • OND / HND / Bachelor’s degree in Business Administration, Accounting, or related field
  • Minimum of 2–3 years of experiencein an administrative or inventory-related role
  • Experience in distribution, logistics, or FMCG is an advantage

Core Skills:

  • Strong organizational and record-keeping skills
  • Basic understanding of inventory management and stock control
  • Good numerical and data-entry accuracy
  • Strong written and verbal communication skills
  • Ability to multitask and meet deadlines

Technical Skills:

  • Proficiency in Microsoft Excel and Word
  • Ability to use inventory logs or basic accounting/ERP tools
  • Comfortable with email and digital documentation
