Job Position: Administrative Officer

Job Location: Lekki, Lagos
Employment Type: Full-time

Job Responsibilities


  • Vendor Management and Communications:
    • Develop and maintain relationships with vendors, contractors, and service providers to ensure timely and cost-effective delivery of services.
    • Coordinate and manage vendor activities, including scheduling, performance monitoring, and issue resolution.
    • Negotiate contracts, agreements, and pricing with vendors to achieve cost savings and optimize service levels.
    • Communicate effectively with vendors, stakeholders, and team members to ensure seamless facility operations.
  • Facility and Assets Management:
    • Oversee the maintenance, repair, and operation of facility systems, including HVAC, electrical, plumbing, and mechanical systems.
    • Develop and implement preventive maintenance programs to minimize downtime and extend asset life.
    • Manage facility projects, including renovations, upgrades, and new installations.
    • Ensure compliance with safety regulations, building codes, and industry standards.
  • Procurement Responsibilities:
    • Source and procure goods, services, and equipment necessary for facility operations, maintenance, and projects.
    • Develop and manage procurement budgets, ensuring cost-effectiveness and value for money.
    • Collaborate with internal stakeholders to identify procurement needs and develop specifications.
    • Negotiate prices, terms, and conditions with suppliers to achieve best value.
  • Additional Responsibilities:
    • Develop and manage facility budgets, including capital and operational expenditures.
    • Analyze facility performance data to identify areas for improvement and implement cost-saving initiatives.
    • Collaborate with internal teams, including operations, maintenance, and engineering, to ensure alignment and effective facility support.
    • Ensure compliance with company policies, procedures, and regulatory requirements.
    • Develop and implement emergency response plans and conduct regular drills to ensure facility readiness.
    • Perform additional administrative and executive support responsibilities to members of the management.

Job Qualifications

  • Bachelor's degree in Business Administration, Management Studies, Facilities Management, or a related technical field.
  • Minimum 2 years of experience in facility management, administration, or a related technical field.
  • Proven experience in vendor management, facility operations, and procurement.

Job Requirements:

  • Strong technical knowledge of facility systems, including HVAC, electrical, plumbing, and mechanical systems.
  • Excellent communication, negotiation, and project management skills.
  • Ability to work independently and as part of a team.
  • Strong analytical and problem-solving skills.
  • Proficiency in computer-aided facility management (CAFM) software and other relevant tools is an added advantage.
  • Certification in facility management (e.g., CFM, FMP) or a related field is an asset.
