Description 


  • The Executive Assistant to the Managing Director will provide high-level administrative support to ensure the smooth functioning of the office.
  • This role involves managing schedules, coordinating meetings, and facilitating communication within and outside the company.
  • The ideal candidate must be highly organized, proactive, and capable of handling sensitive information with discretion.

Responsibilities 

  • Manage the Managing Director's calendar, schedule appointments, and coordinate meetings while minimizing conflicts.
  • Prepare and edit correspondence, reports, presentations, and other documents as required.
  • Act as a liaison between the Managing Director and internal/external stakeholders, maintaining professionalism and confidentiality.
  • Conduct research and compile data for reports, as well as assist in special projects as directed by the Managing Director.
  • Assist in the onboarding and training of new team members within the MD's office.
  • Coordinate travel arrangements, including itineraries, accommodation, and transportation.
  • Assist in preparing agendas and materials for meetings, take minutes, and follow up on action items to ensure timely completion.
  • Monitor and prioritize communications, responding to inquiries and managing information flow effectively.
  • Maintain organized filing systems, both physical and electronic, to ensure easy access to necessary information.
  • Manage office supplies and ensure necessary resources are available for daily operations.

Requirements

  • Bachelor’s Degree in Business Administration, Communication, or a related field is preferred.
  • Minimum of 5 years of experience in a similar role supporting senior executives.
  • Proven experience as an Executive Assistant or in a similar administrative role, preferably in the oil and gas industry.
  • Exceptional organizational and time-management skills with an ability to prioritize tasks effectively.
  • Strong verbal and written communication skills, with attention to detail.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Excellent interpersonal skills with a professional demeanor.
  • Ability to adapt quickly to changing priorities and work effectively under pressure.
