Job Position: Procurement Officer
Job Location: Victoria Island, Lagos

Job Summary

• The Procurement Associate supports the procurement team in sourcing, purchasing, and managing suppliers to ensure timely delivery of quality goods and services at the best possible cost. 
• This role involves assisting with the procurement process, maintaining accurate records, and fostering strong vendor relationships while adhering to company policies and procurement regulations.

Responsibilities

• Assist in identifying and evaluating potential suppliers.
• Maintain and update a database of approved vendors and suppliers.
• Maintain accurate procurement records, including purchase requests, invoices, and contracts.
• Ensure compliance with company procurement policies and relevant legal regulations.
• Assist in conducting audits of procurement activities as needed.
• Support negotiations to secure favorable terms, pricing, and delivery schedules.
• Process purchase orders and ensure their accuracy and completeness.
• Monitor order statuses to ensure timely delivery and resolve any delays or issues.
• Prepare regular reports on procurement activities, including expenditure, savings,and supplier performance.
• Support data collection and analysis to improve procurement processes.
• Work closely with the procurement team and other departments to meet organizational goals.
• Ensure timely communication of order statuses and procurement updates to stakeholders.
• Escalate unresolved problems to senior procurement staff.

KPI
These would be appraised every 3 months:
Cost Efficiency:

• Percentage of cost savings achieved through negotiations or alternative sourcing options.
• Percentage of purchases made within budget.

Timeliness:

• Percentage of purchase orders completed within the required time frame.
• Average lead time from purchase requisition to delivery.

Accuracy:

• Accuracy of procurement documentation (e.g., purchase orders, invoices, and contracts).
• Percentage of error-free transactions (e.g., avoiding duplicate or incorrect orders).

Supplier Management:

• Number of approved and active suppliers in the database.
• Supplier performance score based on quality, reliability, and responsiveness.

Compliance:

• Percentage of procurement activities compliant with company policies and regulatory standards.
• Audit findings related to procurement processes.

Inventory Management:

• Percentage of stock-outs prevented through timely procurement.
• Optimal inventory turnover rate supported by procurement activities.

Collaboration and Communication:

• Internal customer satisfaction score (feedback from departments on procurement services).
• Percentage of procurement requests addressed within a specified response time.

Reporting and Insights:

• Frequency and accuracy of procurement activity reports submitted.
• Quality of insights provided to improve procurement strategies.

Requirements

• Interested candidates should possess a BSc / MSc Degree with 2 - 3 years of work experience. 

Salary
N150,000 - N200,000 per month.
