Job Position: Executive Assistant to MD / CEO

Reports to: Managing Director / Chief Executive Officer (MD/CEO)


Job Summary

  • We are seeking a highly organized, proactive, and resourceful Executive Assistant to support the MD/CEO in driving operational efficiency, managing workflows, and liaising with internal staff.
  • The ideal candidate will be a confident problem-solver who can anticipate the needs of the MD/CEO, maintain confidentiality, and streamline processes to ensure smooth daily operations.
  • The Executive Assistant will be the go-to point of contact for various tasks, enabling the MD/CEO to focus on strategic decision-making and leadership.

Key Responsibilities

  • Executive Support: Provide comprehensive administrative support to the MD/CEO, including managing schedules, appointments, and meetings, ensuring all activities align with priorities.
  • Liaison & Communication: Serve as a primary point of contact for staff, clients, and external partners on behalf of the MD/CEO, fostering effective communication and ensuring timely response to inquiries.
  • Task Management: Oversee and prioritize tasks on behalf of the MD/CEO, ensuring deadlines are met and work is completed efficiently. Track ongoing projects and follow up as needed.
  • Document Preparation & Review: Assist in preparing reports, presentations, and correspondence, ensuring content is aligned with company standards and goals.
  • Meeting Coordination: Plan and organize internal and external meetings, including preparing agendas, taking minutes, and ensuring follow-up actions are completed.
  • Problem Solving & Decision Support: Proactively identify challenges, provide solutions, and offer valuable input in decision-making processes to support the MD/CEO’s objectives.
  • Staff Collaboration: Collaborate with senior management and department heads to facilitate communication, implement changes, and support team initiatives.
  • Travel Coordination: Manage all aspects of travel arrangements, including itineraries, transportation, and accommodations, ensuring the MD/CEO’s travel is seamless and well-organized.
  • Confidentiality & Professionalism: Maintain the highest level of discretion and confidentiality regarding all business and personal matters related to the MD/CEO.
  • Office Management: Assist in managing office operations, resources, and supplies to ensure a productive work environment.

Key Qualifications
Qualification and Experience:

  • Candidates should possess a Bachelor’s degree or equivalent experience preferred.
  • Minimum of 3 years of experience as an Executive Assistant or in a similar role supporting senior leadership.

Skills:

  • Exceptional organizational and time management skills with the ability to prioritize tasks effectively.
  • Strong written and verbal communication skills, with attention to detail.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
  • Ability to work under pressure, handle multiple tasks simultaneously, and remain calm in fast-paced environments.
  • High emotional intelligence and interpersonal skills, with the ability to build relationships and collaborate with diverse teams.
  • Strong problem-solving ability and a proactive approach to improving workflows and systems.
  • Tech-savvy and adaptable to new software and tools.

Personal Qualities:

  • Smart, quick to learn, highly adaptable, resourceful, reliable, and able to maintain a positive attitude under pressure.

Working Conditions:

  • Full-time position, Monday to Friday
  • Some travel may be required.

Salary
N100,000 - N150,000 / Month
