Tender/Bid Specialist

Job Summary

The Tender Specialist manages the end-to-end bid process for tenders within the oil and gas industry. This role involves identifying appropriate products and services for tender line items, preparing bid documents, and coordinating with both internal teams and external stakeholders to gather the necessary technical and commercial information for competitive bid submissions. The specialist ensures that all tenders are accurate, timely, and compliant with the strict regulatory and operational standards typical of the oil and gas sector.


Key responsibilities include collaborating with internal teams, such as engineering, procurement, and operations, to draft detailed responses that meet the complex requirements of Requests for Proposals (RFPs), Requests for Quotations (RFQs), and other tender-related documents. The Tender/Bid Specialist must ensure that submissions reflect a thorough understanding of the sector's safety, environmental, and financial compliance standards while delivering high-quality and competitive bids within the deadlines.

Job Type: Full Time, Onsite, – Warri, Lagos etc.

Responsibilities

  • Bid Management: Lead and monitor the preparation and submission of proposals, bids, and RFQs (Requests for Quotations) to IOCs and oil & gas companies. Ensure timely submission of bid packages via platforms like NIPEX Joint Qualification System (NJQS), Ariba, or physical submission to client offices.
  • Proposal Writing: Prepare, write, and review tender responses, ensuring they are tailored to the client’s requirements and showcase Shomas Group’s strengths.
  • Stakeholder Collaboration: Work closely with internal teams (sales, finance, legal, business development, etc.) to gather required data and ensure all documentation aligns with company standards.
  • Compliance & Quality Assurance: Ensure all submissions comply with legal, financial, and technical requirements and meet internal quality standards.
  • Risk Management: Identify potential risks within bids and proposals and work with the relevant departments to mitigate them.
  • Market Research: Keep up-to-date with industry trends and competitors’ activities to identify bidding opportunities and develop winning strategies.
  • Process Improvement: Continuously improve the bid process by refining templates, enhancing document management practices, and integrating feedback from past tenders.
  • Post-Tender Analysis: Analyze results and feedback from unsuccessful bids to learn and improve future submissions.

Requirements:

  • Bachelor’s degree in business administration, management, sales, marketing, supply chain, or any related field.
  • Proven experience of a minimum of 4 – 7 years in managing tenders, bids, or proposals within the oil and gas sector.
  • Strong understanding of tendering procedures, and legal and financial principles.
  • Excellent writing, editing, and communication skills, with a sharp eye for detail.
  • Ability to manage multiple bids simultaneously and meet tight deadlines.
  • Expertise using platforms like NIPEX, Ariba, and other tender submission systems for managing bids and RFQs.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and other proposal management tools.
  • Strong analytical and problem-solving skills, with a strategic mindset.
  • Ability to work independently as well as part of a team.
