Job Description

  • The Administrative Assistant will provide administrative support to the team, ensuring the smooth operation of the office. 
  • The successful candidate will be responsible for managing calendars, coordinating travel arrangements, preparing documents, and performing various administrative tasks.

Responsibilities
Administrative Support:

  • Manage calendars: Manage calendars for executives, scheduling appointments and meetings.
  • Coordinate travel arrangements: Coordinate travel arrangements, including flights, hotels, and rental cars.
  • Prepare documents: Prepare documents, reports, and presentations as needed.
  • Maintain records: Maintain accurate and up-to-date records, both physical and digital.

Communication and Correspondence:

  • Answer phone calls: Answer phone calls, respond to voicemails, and direct calls as needed.
  • Respond to emails: Respond to emails, messages, and other correspondence in a timely and professional manner.
  • Prepare correspondence: Prepare correspondence, including letters, memos, and emails.

Office Management:

  • Maintain office supplies: Maintain office supplies, ordering new supplies as needed.
  • Manage office equipment: Manage office equipment, including printers, scanners, and copiers.
  • Ensure office organization: Ensure the office is organized, tidy, and well-maintained.

Data Entry and Bookkeeping:

  • Perform data entry: Perform data entry tasks, including updating spreadsheets and databases.
  • Maintain financial records: Maintain accurate financial records, including invoices, receipts, and expense reports.

Event Planning:

  • Coordinate events: Coordinate events, including meetings, conferences, and workshops.
  • Arrange catering and logistics: Arrange catering and logistics for events as needed.

Requirements
Education and Experience:

  • Bachelor's Degree NCE, HND, OND or equivalent required.
  • Minimum of 1+years of experience in an administrative role.
  • Post-secondary education in business administration or a related field is an asset.

Technical Skills:

  • Microsoft Office: Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
  • Google Suite: Familiarity with Google Suite, including Gmail, Google Drive, and Google Docs.
  • Data entry software: Experience with data entry software, including spreadsheets and databases.

Soft Skills:

  • Communication: Excellent communication and interpersonal skills.
  • Organization: Strong organizational and time management skills.
  • Problem-solving: Ability to think critically and solve problems effectively.
  • Adaptability: Ability to adapt to changing priorities and deadlines.
