Job Description

  • An Administrative Assistant provides support to managers, executives, and other staff by performing a variety of administrative tasks.
  • This role is crucial for ensuring the smooth operation of the office by handling essential tasks such as scheduling, correspondence, data entry, and office organization.

Responsibilities
Office Management:

  • Maintain and organize office files, records, and documents.
  • Order and manage office supplies and inventory.
  • Ensure the office environment is clean, orderly, and well-maintained.

Scheduling and Coordination:

  • Manage calendars and schedule meetings, appointments, and travel arrangements.
  • Coordinate events, conferences, and meetings, including preparing materials and booking venues.

Communication:

  • Answer and direct phone calls, emails, and other communications.
  • Draft, proofread, and distribute letters, memos, and other correspondence.

Data Entry and Record Keeping:

  • Enter and update data in various systems and databases.
  • Maintain accurate and up-to-date records and filing systems.

Support to Staff:

  • Assist with the preparation of reports, presentations, and spreadsheets.
  • Provide administrative support to various departments as needed.

Customer Service:

  • Greet and assist visitors and clients in a friendly and professional manner.
  • Handle inquiries and provide information about the organization.

Financial Administration:

  • Process invoices, expense reports, and other financial documents.
  • Assist with basic bookkeeping and financial tasks.

Requirements
Education:

  • Candidates should possess OND, HND, B.Sc Degrees in Business Administration or other related fields.

Experience:

  • 1 - 10 years of relevant work experience.
  • Previous experience as an Administrative Assistant or in a similar role (preferred).
  • Experience with office management software and tools.

Skills:

  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Ability to multitask and prioritize tasks effectively.
  • Strong problem-solving and decision-making abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
  • Attention to detail and accuracy.
  • Ability to work independently and as part of a team.

  • Availability to work during regular business hours, with occasional flexibility required.
  • Professional demeanor and appearance.
  • Strong work ethic and commitment to providing excellent administrative support.

Remuneration
Salary: N150,000 - N250,000 Monthly (Competitive salary).
