Job Summary


  • In this role as a Personal Assistant to the Senior Executive at Dangote Sugar Refinery Plc., you will be responsible for providing high-level administrative support to the Senior Executive in a professional and confidential manner.
  • You will manage the Senior Executive's calendar, coordinate meetings and travel arrangements, handle correspondence, and assist in preparing reports and presentations. Your exceptional organizational skills, attention to detail, and ability to prioritize tasks will be instrumental in ensuring the smooth operation of the Senior Executive's office.
  • As a Personal Assistant, you will also be expected to maintain a strong level of discretion and confidentiality in handling sensitive information.

Roles & Responsibilities

  • Calendar Management: Manage the Executive Director's calendar by scheduling meetings, appointments, and events, prioritizing commitments, and ensuring the schedule is optimized for productivity and efficiency.
  • Administrative Support: Provide comprehensive administrative support to the Executive Director, including drafting and proofreading documents, preparing reports, handling expense reports, and maintaining accurate records and files.
  • Project Assistance: Assist in managing projects and initiatives led by the Operations department, coordinating with team members, tracking progress, and ensuring deadlines are met.
  • Communication: Act as the primary point of contact for internal and external communications directed to the Executive Director. Screen and prioritize emails, phone calls, and other correspondence, responding on behalf of the Executive Director when necessary.
  • Meeting Coordination: Arrange and coordinate meetings, conferences, and travel arrangements for the Executive Director. Prepare meeting agendas, presentations, and necessary materials, and ensure all logistics are organized.
  • Information Management: Organize and maintain information and documents related to operations, ensuring easy access and retrieval as needed.
  • Confidentiality: Handle sensitive information and maintain confidentiality at all times.
  • Relationship Management: Build and maintain positive relationships with internal stakeholders, external partners, and clients/customers.

Requirements

  • Bachelor's Degree in Business Administration or related field (preferred)
  • Minimum of 5 years of relevant work experience
  • Proven experience as a Personal Assistant or similar role supporting senior executives
  • Excellent organizational and time management skills
  • Strong verbal and written communication skills
  • Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel)
  • Ability to handle confidential information with discretion
  • Attention to detail and strong problem-solving skills
  • Ability to prioritize tasks and work under pressure
  • Strong interpersonal skills and ability to work independently.
