Job Summary
- The Secretary to the Plant Director at Okpella Cement Plc will deliver extensive administrative assistance to facilitate the efficient functioning of daily operations and boost productivity.
- This position demands outstanding organizational abilities, meticulous attention to detail, and strong communication skills at all hierarchies within the organization.
- The Secretary will be responsible for managing correspondence, coordinating meetings, and overseeing critical documentation while upholding confidentiality and professionalism.
Job Responsibilities
- Provide high-level administrative support to the Plant Director.
- Manage and organize schedules, including arranging meetings, conferences, and travel plans.
- Serve as a liaison between the Plant Director and other staff, clients, and stakeholders.
- Assist in preparing presentations and reports for management meetings.
- Handle confidential information with the utmost discretion.
- Draft, review, and edit correspondence and reports to communicate information accurately.
- Maintain document control and ensure all pertinent records are filed correctly.
- Coordinate office activities and functions to minimize delays in operations.
- Monitor and maintain office supplies inventory, ordering as necessary.
- Support the Plant Director in project coordination and follow-up tasks.
Education and Qualification Requirements
- Bachelor's Degree or its equivalent in English Language, Secretarial Duties, Business Administration or a related field.
- Minimum of three (3) years of experience in a secretarial or administrative role, preferably within an industrial or manufacturing environment.
Skills and Competencies:
- Exceptional organizational and time management skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent verbal and written communication skills.
- Ability to handle multiple tasks and meet deadlines effectively.
- Strong attention to detail and accuracy.
- Strong interpersonal skills with the ability to work collaboratively with various teams.
- Demonstrated ability to maintain confidentiality.
- Proactive problem-solving skills and initiative.
